What the accounting report is for

Your accountant needs a single dated document covering everything received and spent for a property. The accounting report generates it in one click: it lists all of the unit's movements in chronological order, with their date, category, label and amount.

It is included in every plan, including the free one.

Download the report

  1. Open the unit's page (Units, then the unit).
  2. If needed, pick the year in the Unit performance chart: the report covers the year shown.
  3. Click Accounting summary in the header of the page.
The PDF opens in a new tab; you can save or print it. The button is only visible to the rental's managers.

What the report contains

  • Summary: total income, total expenses and net balance, in the rental's currency.
  • Movements, in date order, with an Income and an Expense column:
    • rent and charges received, with the tenant's name;
    • custom payments (cleaning, deposit, miscellaneous fees…);
    • the unit's expenses (type and description);
    • for a seasonal unit, the platform invoices: sales as income, commission and payment fees as expenses.
  • Recorded payments detail: for information only. These payments are already included in the rent above, so they are not counted twice.
  • Imports: imported platform invoices (date and author) and the latest calendar syncs.

Platform invoices in the report

For Booking.com, Airbnb and other platforms' sales and commissions to appear, import their PDF invoices in the Partner platforms section of the unit's page: see Track platform payments and fees.

Each invoice is dated by its invoice date. If it is in a different currency from the rental's, it is converted to the rental's currency and the original amount is shown in the label.

Entering your accountant's details

On the unit's page, open Unit settings then the collapsed Accountant section: company, contact name, email and phone (all optional). These details appear at the top of the unit's accounting summary and in each unit's section of the annual report, so the document reaches the right person. The first page of the annual report also shows the owner (name, contact details, address, ownership share) and a summary of the units (name, address, rental type, ownership, accountant).

Annexes: supporting documents

At the end of the PDF, the annexes gather the documents backing the movements:
  • Annex 1 — Platform invoices: the Booking.com, Airbnb… PDFs imported on the unit's page.
  • Annex 2 — Expense and repair receipts: files attached to expenses (a tradesman's invoice, quote, photo).
  • Annex 3 — Rent receipts: a summary of rent collected per tenant and month.
Images (JPG, PNG) are reproduced one per page. PDFs are inserted page by page into the document after the index, with an “Annex … — page n/N” marker at the top of each page (20 pages max per document, 120 in total). A protected PDF, or one whose structure is too recent to be inserted, is attached to the file instead (icon on the “PDFs as attachments” page, or your PDF reader's attachments panel). Beyond 40 images, the rest are not reproduced.

Attaching a receipt to an expense

In Rentals > Expenses, click the paperclip at the end of the row and pick a PDF, JPG or PNG file (8 MB max, 10 per expense). The receipt shows under the expense description; the cross removes it. It counts toward your storage space and is never reachable without logging in.

The accounting file of a furnished rental

At the end of the annual report (before the annexes), the Accounting file pages gather the information a firm specialised in furnished rentals (LMNP) asks for to prepare the balance sheet and tax return:
  • Lessor identity: name, address, email, phone, ownership share. Civil status (birth, nationality, marital status), social security number and SIREN are not stored by the application: they are marked “to be provided to the accountant”.
  • Property and acquisition: address, furnished-rental start date (first lease or stay), acquisition date and price, financing mode.
  • Financing: for each loan entered in the rental's settings, an estimate of interest and principal repaid during the year; the bank's amortisation schedule prevails.
  • Furniture inventory: the equipment entered in each unit's rooms.
  • Checklist: for each item (deed of purchase, signed lease, property tax, expense receipts, ID and bank details, latest tax notice…), whether it is filled in, to complete or to provide.
The list follows the onboarding file published by Contalim; it suits most LMNP firms, but your accountant may ask for other documents. To make it as complete as possible, fill in the loans, the acquisition date and price (rental settings) and the equipment of the rooms.

Where to enter this information?
  • Profile > Civil status and tax: birth name, first names, date and place of birth, nationality, marital status, social security number (stored encrypted, never shown in full) and tax notices (one version per year; a new upload replaces the previous one).
  • Unit settings > Tax documents: property tax, housing tax, business property tax (CFE), landlord insurance or other document, one per type and year.
The latest tax notice and the year's tax documents are inserted in annex 5 of the report; civil status appears in the “Lessor identity” section of the accounting file, reserved to the owner generating the report.

Good to know

  • The day of rent received is the payment date when known, otherwise the 1st of the month concerned.
  • The document is protected against modification: it serves as supporting evidence.
  • Amounts follow the rental's currency, not that of an older residence record.
  • If an amount seems to be missing, check that it is recorded on the unit's page (payment, expense or platform invoice) and generate the report again.
